Scanning Assistant

Job Introduction

The Planning service would like to recruit two Scanning Assistants who are enthusiastic, customer focused and flexible to work across both the Planning and Building Control services.


You will provide scanning, indexing and document management service for the Planning and Building Control services, both in the office and from home, 37 hours a week all year round.  The role comprises the use of IDOX and Uniform systems for scanning and data entry, from multiple formats including digital, paper and microfiche, retrieving microfiche and paper files from storage, dealing with confidential information, the administration of mail and the use of Microsoft Office packages.

You will play an active role to ensure that the Bradford Council’s Planning and Building Control Services make a maximum contribution to the regeneration of Bradford and the achievement of a sustainable District.

 The main responsibilities of this role:

  • To electronically scan planning and building control applications and supporting documentation, from multiple formats including paper and microfiche.
  • Respond to requests made by the public and officers, to electronically scan historic planning and building control applications and supporting documentation, from multiple formats including paper and microfiche, making them available to the public if appropriate.
  • To electronically index documentation using bespoke software.
  • To check the quality and accuracy of the document images and indexing with particular regard to the sensitivity of documentation that will be processed.
  • To import and export documents and plans electronically in electronic format from external and internal sources, for example from the Planning Portal.
  • To assist in maintaining electronic public registers which are available for public and staff use at all times.
  • To input, retrieve and print information from the computer system as required.
  • To keep records both on the computer and in manual systems.
  • To comply with the terms of legislation relating to data protection.
  • To administer mail, retrieve mail from the mail room, open, scan disseminate as appropriate, in addition to taking mail to the post room on behalf of the Planning and Building Control services.
